How to Plan an Outdoor Event

Did you know that there are 33,035 event planners and coordinators in America today?

Outdoor event planning is something that comes naturally to many of us. This is because we can’t help but want to have fun under the sun.

Whether you are planning a small get-together or a large-scale event like an outdoor festival, there is a lot to prepare. But, the results can be well worth it.

Luckily, we’re here to help. As you plan, there are things you should consider to ensure that you provide a good experience for everyone.

Identify Vendors

Begin with a comprehensive list of all the desired vendors needed to ensure a successful event. From here, it is important to research the vendors for their experience, past work, and quality.

Additionally, a price comparison needs to be conducted to ensure the best value for money. You should also secure contracts that suit the needs of the event.

Furthermore, it will be best for you to identify vendors to whom you can discuss info on renting porta potties. This will ensure your guests’ convenience especially when they don’t prefer using public toilets.

Determine Your Budget

Consider all of your costs such as fees for the venue, security, permits, equipment rental, food, insurance, advertising, and any other expenses that may arise. Make sure to consider any additional costs a venue may charge such as taxes or cleaning fees.

Know the area. Take into account the transportation costs, and other variables that can affect the cost of your event.

Have a buffer between the budget and the cost of the event. This will provide you with a cushion in case anything unexpected arises.

Determine the Location

In determining the location of the event, you must be aware that there are vent types that require higher levels of safety. The event venue may be best if it’s in a park or private venue.

The size of the guest list will help determine the size of the venue needed, as well as the amount of space available for activities. Weather is also important to consider, as hot summer sun or rain can ruin an event.

Based on event type and budget, free and private locations should be researched and compared to determine the best possible location for the event. You will need to take a comprehensive look at the entire event and keep the guests’ experience in mind when selecting a venue.

Identify the Permits Needed

Begin by checking with your state, county, or city government to determine what type of permits may be required. Know what type of activities you are planning and what type of space you wish to occupy.

Then contact the proper authorities about what is expected to comply. This could range from special noise regulations or activities with minors to parking requirements or special insurance requirements.

Use This Guide for Your Next Outdoor Event

Overall, planning an outdoor event can seem daunting, but with the right application of these simple steps, you will be able to create a successful and enjoyable event for all. Be sure to identify vendors, determine your budget and location, and know the permits needed.
